ActiFi's Recommended Best Practices When Managing 1:1 Meetings

    Have a defined objective and agenda for the meeting (start with a template agenda, and allow both parties to edit as needed before the meeting)
    During the meeting, be flexible but don't forget there is an agenda
    Come prepared for the meeting
  • With a high-readiness employee/client, the role or person responsible for leading will generate the agenda and notes prior to the meeting (demonstrating they are prepared for the meeting).
  • If the direct report is not prepared (e.g. no agenda, no thoughts or notes on topics, updated or clean data), reschedule the meeting. Ensure the direct report knows what it means and how to prepare for the meeting.
  • If the direct report is not prepared for the 2nd attempt, take corrective measures according to your employment policies.
  • With a high readiness direct report, the manager is meeting 1 time per month or quarter; for a lower readiness or newer employee, the frequency should be weekly or bi-weekly. The manager would drive the agenda and show the direct report how to prepare for the meeting.
    Follow up:
  • Ensure notes are saved, action items are documented, and a follow-up email or summary is sent with the next steps clearly documented (who, when, and what will be completed).

    Celebrate successes (recent wins)
    Review Dashboard (look at the data, what goals are on/off track? For the items that are off track, what are the action items to bring them back to on track?)
