Overview

We're enhancing how the "Created By" and "Completed By" information is recorded on your Roadmap and Recommendation records.
Today, these fields can only point to a Contact. Going forward, the person who created or completed a record in SuccessPro may correspond to either a Salesforce Contact or a Salesforce User. To support both, each existing field is being replaced by a pair of fields:
Today (single field)
After upgrade (two fields)
Created By
Created By (Contact) + Created By (User)
Completed By
Completed By (Contact) + Completed By (User)
This applies to:
  • Roadmap — Created By and Completed By
  • Roadmap Recommendation — Completed By
Your existing data is preserved and automatically copied into the new fields. Nothing is lost.


What to Expect

  • No data loss. All current values are carried into the new fields.
  • No downtime. The upgrade installs while your org stays live.
  • Two short installs, a few minutes each, with a verification step in between (handled by ActiFi).
  • The old fields remain temporarily after the second install (hidden) until they're manually removed at the end — a safety measure so nothing is deleted before everyone confirms the new fields are correct.


Warning Two Things to Prepare Before We Begin

1. Custom field labels will reset. If your team has renamed any Roadmap or Recommendation fields/objects, the upgrade will reset those labels to the package defaults (e.g. "Roadmap"). This is standard behavior for this type of package.
Action: Please make note of any fields/objects you've renamed so they can be re-applied after the upgrade.
2. Reports & list views will need repointing. Any reports, list views, or customizations that reference the old "Created By" / "Completed By" fields will need to be updated to use the new (Contact) / (User) fields before the old ones are removed.
Action: Identify where the old fields are used in reports/list views so they can be repointed at the right time (we'll tell you when).


The Upgrade Process — Step by Step

Step 1 — Install the update that adds the new fields

Install ActiFi-Roadmaps v1.4.13:
  • This adds the six new fields. Your existing fields and data are untouched.
  • Recommended install option: Install for All Users (so the integration and your team can see the new fields).
  • Nothing else changes yet — the new fields will be empty at this point.

Step 2 — ActiFi populates the new fields

ActiFi runs a one-time process that copies the historical "who created / who completed" information into the new fields across all your records.
  • This only writes the new fields — no other record data is changed.

Step 3 — Verify together

ActiFi and your team confirm the new fields are populated correctly and reports look right.

Step 4 — Install the update that retires the old fields

Install ActiFi-Roadmaps v1.4.14:
  • This marks the three old fields as deprecated (hidden), but does not delete them or their data — they remain as a safety backup.

Step 5 — Repoint reports & list views

Update any remaining reports/list views to use the new (Contact) / (User) fields.

Step 6 — Remove the old fields (final cleanup)

Once everyone is satisfied, an admin manually deletes the three deprecated fields:
Setup → Object Manager → (object) → Fields & Relationships → (field)Delete
Fields to remove:
  • Roadmap: Created By, Completed By
  • Roadmap Recommendation: Completed By
(Deleted fields sit in the recycle bin for 15 days, so they remain recoverable during that window.)
