Configuring Notifications in SuccessPro

Notifications for Followed Items

SuccessPro can send you notifications about any updates to or the creation of Roadmaps/Goals, Meetings, Opportunities, Metric Sheets, and Assessments. Notifications contain two components – an email and an entry into our Bell Menu. Both types of notifications will contain a link to the related item within the notification (both in the email and the Bell Menu).

Bell Menu

Bell Menu notifications will be ON for all tenants by default, but they can be turned off by an administrator in the Tenant Configurations (this is not recommended). This menu will contain all notifications from the last 30 days and any unread notifications up to 90 days.
The red dot in the Bell Menu indicates that the item is unread. You can mark all notifications as read by selecting the Mark all as read option in the upper right corner of the notifications menu. Clicking on a notification will allow you to navigate directly to the updated item.

Email

Email notifications are sent every two hours, on the hour according to Central Standard Time (i.e. 10:00 AM, noon, 2:00 PM). Each email contains a summary of all updates that occurred during the two-hour timespan. An email notification will not be sent if there are no updates or new items created during that time.
The ability to receive email notifications will be turned ON by default at the tenant level. Turning the actual email notifications on is controlled in the My Settings menu at the user level.

My Settings Menu (User Level)

To access the My Settings menu, click on your name in the upper right corner and select My Settings.
Ensure the checkboxes under the Email me when… section are selected to receive email notifications. The checkbox next to the Any items I interact with option allows you to automatically follow items you interact with, saving you the step of following goals, meetings, opportunities, or other items where you are a collaborator.


User Notification Settings (Coach/Administrator Level)

If you are a Coach or Administrator who manages advisors within SuccessPro, you can view and adjust the User Notification Settings of another user.
Once you have the appropriate advisor pulled up in the system, select the View Profile button.
From this screen, scroll down to the User Notification Settings. You can see how they have their settings configured and can even modify these settings on the user’s behalf. Please note that if the user adjusts these settings later from their My Settings menu any previous settings will be overwritten.

Setup

You must be set up as a Coach or Administrator to view or edit someone else’s User Notification Settings.

How Notifications are Triggered: Following and New Responsibilities

Following

SuccessPro offers the ability to Follow Roadmap/Goals, Meetings, Opportunities, Metric Sheets, and Assessments. Following items allows you to receive a notification if something is updated by a different party. The criteria of what is considered an update varies by item, but overall, it refers to any significant modification to the item.
A Roadmap/Goal update includes:
  • Recommendation is completed
  • The roadmap is completed
  • Note left (on a Recommendation or Goal)
  • Goal Progress changed
An Opportunity update includes:
  • Status change
  • Note left
  • Roadmap created/linked
A Meeting update includes:
  • Comments are left
A Metric update includes:
  • Data is entered
Assessment updates are handled differently. Only those set up with a Manager role in the system will receive these updates. A manager will be notified whenever one of their advisors completes any assessment(s) that the Manager is following.
Please Note: You will automatically follow any items that you own. You can toggle the Follow button off if you do not wish to receive notifications (this is not recommended).

New Responsibilities

Notifications will also be sent related to any new responsibilities you receive under a Roadmap/Goal, Opportunity, Meeting, or Metric. Some examples may include:
  • A Manager created a new roadmap under your user
  • A Manager assigned a Recommendation (under a roadmap/goal) to your user
  • A Manager added you to a Meeting

Setup (Admin Level)

All notification features related to the Bell Menu will be turned on by default, but for email notifications, each user will default to having emails turned off. If a user turns their email settings on from their My Settings menu (see above), then they will receive the notifications both via email and through the Bell Menu. Any user who has not set their own personal preferences through the My Settings menu will default to only receiving notifications through the Bell Menu. Only ActiFi can edit these configuration settings.
